Privacy Policy

Last updated: October 20, 2025

Look, we get it - nobody actually enjoys reading these things. But we're pretty straightforward about how we handle your info. We're architects, not data miners, so we keep things simple and transparent.

When you reach out to us or use our website, we might collect a few basics:

  • Contact Details: Your name, email, phone number - the usual stuff you'd share when starting a conversation about a project
  • Project Info: Details about what you're planning to build, site locations, timelines, budget ranges (we need this to actually help you)
  • Technical Data: IP addresses, browser types, device info - standard website analytics so we can keep things running smoothly
  • Correspondence: Emails, messages, meeting notes - basically the paper trail of our conversations

We're not out here collecting anything weird or unnecessary. Just what makes sense for running an architecture practice and keeping our website functional.

Here's the deal with what we do with your info:

  • Project Work: To actually design your building, prepare drawings, coordinate with contractors and consultants - y'know, the job you hired us for
  • Communication: Responding to inquiries, sending project updates, scheduling site visits
  • Legal Stuff: Meeting building code requirements, permit applications, professional liability documentation
  • Improving Our Service: Understanding how people find us, what projects they're interested in, making our website better
  • Marketing: Occasionally sharing news or portfolio updates (you can opt out anytime - no hard feelings)

We're not selling your data to third parties or doing anything sketchy. Your project details stay confidential, period.

Sometimes we need to share certain info to get the job done:

  • Project Consultants: Structural engineers, mechanical consultants, landscape architects - the team needed to deliver a complete design
  • Contractors & Builders: When it's construction time, they'll need the plans and specs
  • Municipal Authorities: Building departments, planning offices - required for permits and approvals
  • Professional Services: Our accountants, lawyers, insurance providers (all bound by their own confidentiality rules)
  • Tech Providers: Cloud storage, email hosting, BIM software platforms - but only what's necessary for operations

Everyone we work with is vetted and has their own privacy obligations. We don't just hand your info to random people.

Yeah, we use cookies - but nothing invasive:

  • Essential Cookies: Keep the site functioning, remember your preferences during a session
  • Analytics: Google Analytics helps us see what pages people visit, how long they stay, where they're coming from
  • No Ad Tracking: We don't use advertising cookies or follow you around the internet

Most browsers let you control cookie settings if you wanna dial things back. Just know that blocking everything might make the site a bit clunky.

We take security seriously (it's like waterproofing a building - you don't skip it):

  • Encrypted Storage: All digital files are stored on secure, encrypted servers
  • Access Controls: Only team members working on your project can access your information
  • Regular Backups: We backup everything so data doesn't just vanish
  • Canadian Servers: Your data stays in Canada, subject to Canadian privacy laws (PIPEDA compliance)
  • Physical Security: Our office has controlled access - we're not leaving project files on the sidewalk

No system is 100% bulletproof, but we've got solid protections in place and keep everything updated.

You've got options when it comes to your personal info:

  • Access: You can ask to see what information we have on you
  • Correction: If something's wrong, let us know and we'll fix it
  • Deletion: Request that we delete your data (though we might need to keep some stuff for legal or contractual reasons)
  • Opt-Out: Unsubscribe from marketing emails anytime - there's a link at the bottom of every message
  • Data Portability: Get a copy of your information in a usable format
  • Withdraw Consent: Change your mind about how we use your info (with some limitations for active projects)

Just reach out to us at info@halcyonforge.info and we'll sort it out.

We don't keep stuff forever, but architecture has some unique requirements:

  • Project Files: Minimum 10 years after project completion (professional liability requirements in Canada)
  • Financial Records: 7 years for tax purposes
  • Marketing Contacts: Until you unsubscribe or we haven't heard from you in 3 years
  • Inquiry Data: 2 years if you don't become a client
  • Website Analytics: 26 months (Google Analytics standard)

After these periods, we securely delete or anonymize the data. Buildings might last centuries, but your personal info doesn't need to.

Our website might link to other sites - manufacturer product pages, sustainability certification resources, project collaborators, etc.

Once you click through to another site, their privacy policy takes over, not ours. We try to link to reputable sources, but we can't control what they do with your data.

Always worth checking their privacy policies too if you're concerned about tracking.

Our services aren't directed at anyone under 18. We don't knowingly collect information from kids.

If you're a parent and think we've somehow collected info from your child, contact us immediately and we'll delete it.

Laws change, technology evolves, and sometimes we need to update this policy to reflect that.

We'll post any changes here with a new "last updated" date at the top. For major changes, we might send an email notification to active clients.

It's worth checking back occasionally, especially if you're working with us on a project.
